Getting Started
- Web app — epicone.hearken.ai. The full experience: chat, screen recording, settings, and admin.
- Mobile app — chat, voice, and uploads from your phone, with the same conversation history.
- Text message — Epic One can also converse over SMS when you're away from a computer.
Sign in with the email and password from your registration. If you're locked out, an admin can reset your password — or ask Epic One in chat.
If an admin set up your account New, you'll get an email from info@hearken.ai with your mobile number, company and a temporary password. Sign in with those and Epic One asks you to choose your own password straight away; the temporary one stops working once you do. Didn't get it? Check your spam folder, or ask your admin.
When Epic One asks for your password in chat (logging in or registering), your typing is masked and the answer shows as ******** in the conversation — it's never displayed in plain text.
Your company's first day New
New people get Epic One's onboarding questionnaire: when you open Epic One, it starts the chat itself with one short setup question at a time — never in the middle of a task. Answer it, or say "skip".
- Admins are asked about the company: your website, what the company does, a couple of documents to learn from, the parts of your business you haven't taught Epic One yet (see the Teaching checklist), your business systems (only the ones your plan includes), and who else should use Epic One.
- Everyone is asked about their own setup: your sign-in for each business system, your morning brief time, and voice on or off.
- Epic One doesn't ask what it already knows — from what it has learned, what you've set up and what you've told it in chat. Anything you set up in Settings counts as answered.
- Turn it on or off under Settings → Notifications → Onboarding questionnaire. "Show questions" lists each one, what Epic One knows and how it knows it; Ask me again makes it ask anyway. It switches itself off when everything is answered or skipped; switch it back on to revisit the ones you skipped.
When the company's basics are in, Epic One puts together what it learned and sends the admins its first overview of the company, plus a first morning brief.
Epic One on your phone New
There is nothing to download from an app store. The web app installs itself as a phone app in two taps, with its own icon, full screen, and the microphone, exactly like the version in your browser — same sign-in, same chats, same settings.
iPhone (Safari)
- Open epicone.hearken.ai in Safari (it must be Safari, not Chrome, for this step).
- Tap the Share button (the square with an arrow, at the bottom of the screen).
- Scroll the list and tap Add to Home Screen, then Add.
Android (Chrome)
- Open epicone.hearken.ai in Chrome.
- Tap the ⋮ menu (top right) and choose Install app — or Add to Home screen on older versions — then Install.
Epic One now opens from your home screen like any other app. Sign in once; it stays signed in. To remove it, delete the icon like any app.
The microphone works from the installed app. Notifications still arrive by text message or email, as you chose in Settings → Notifications.
Chatting with Epic One
- Type or talk — use the message box, or press the microphone and speak; your voice is transcribed automatically.
- Hear it back — the speaker button turns spoken replies on or off. One press always mutes, even mid-sentence, and the setting is saved to your account, so it applies in every browser and window you use. Only the window you're looking at speaks. Pick the voice in Settings. New
- Attach files New — click 📎 and choose what Epic One should do: Learn from it (it becomes company knowledge), Create documents from it (minutes, action items, a design spec, a guide… from a transcript or meeting recording), Create multi-media (your own footage, logo and stills for a video), Install an Epicor solution (a .zip from Solution Workbench), or Just attach it. Pick the files; they upload straight away and wait in a tray above the box, which says what will happen. Add any notes (e.g. "the design spec starts 10 minutes in") and press Send — the choice starts right then, and Epic One keeps your notes. With Just attach it (or files dropped anywhere on the chat), say what you want in your own words: "make a 5-slide PowerPoint from this", "what does this screenshot say?". Several files at once is fine (up to 480 MB each); ✕ takes one off before sending. Videos and podcasts play right in the chat.
- PowerPoint decks and website screenshots New — ask for a deck and Epic One makes a real .pptx in your brand colours: a title slide, then a slide per point with bullets, pictures (a screenshot of any public web page, an image from the chat or one you attached) and speaker notes. It can also screenshot any public website on its own: "screenshot acme.com". A site behind a "verify you are human" check is reported, not faked. The deck comes as a download chip in the chat — ask if you want it emailed or saved to Dropbox.
- The avatar (Andy, robot, dog, cat, or human) animates while Epic One talks. Change it in Settings — position it left, center, or right, or choose "None" to hide it (voice still works).
- Presence dots in the header show which teammates are online.
- The system chip New next to the title shows which ERP system Epic One is working in — an Epicor environment (in its color), E2, or Zoho Books — and switches between them. More below.
Things you can just ask
- "What do you know about Acme Corp's pricing?" — searches the knowledge base
- "Search past transcripts for the kickoff meeting"
- "Send Stacey a message that the report is ready" — in-app if online, SMS if not
- "Who's online right now?"
- "Show me my screenshots" — displays frames from your latest recording
- "What's my brief?" New — what changed since yesterday, what's waiting on you, and one suggested next step
- "What should I do first when a new vendor needs to be set up?" New — a recommendation built from everything Epic One knows about your company
For the complete catalog of phrases and what each one does, see What You Can Ask (topic 04).
Emily Help New
Emily is built into Epic One. Tap her photo at the bottom of any chat and a panel opens on the right. She reads the conversation you're in and tells you what to type next. There's nothing to install, and she stays available while Epic One is working.
- What to say next. She writes three to five messages for the chat you're in, using your own part numbers and customer names. Send one as is, or pick Edit first to change it.
- Questions. Type into the box at the bottom of the panel: "Why did that fail?" or "Which mood do I need for this?"
- What's running. While Epic One works, the panel shows the request it's on, how long it's been going and the current step. Stop halts it.
- Messages you send while Epic One is busy wait in line and run in the order you typed them. Each one sits in the panel with a Cancel button until its turn.
- Big Epicor updates get a progress bar with records done, records left, and anything that failed.
- If the server restarts partway through a request, the chat says which one didn't finish. One tap sends it again.
- Emily knows which mood you're in. She only suggests things that mood can do, and tells you when a request needs a different one.
Behind the scenes
Some of her work happens out of sight. Before Epic One tells you a change was saved in Epicor, Emily reads the record back to check. When Epicor rejects a field name, she corrects it and tries once more. Server errors reach you as plain sentences. The steps list under each reply shows every lookup and change Epic One made.
What You Can Ask
You never need exact wording — Epic One understands natural phrasing. These examples show each capability and what you get back.
Documents & downloads
| You say | What happens |
|---|---|
| "Meeting minutes and action items please" (after uploading a transcript) | Generates the Word docs, posts download cards in chat, and saves them to Dropbox. |
| "A planning doc and the design spec, for Acme Corp" | Planning document in your learned format — plus a Design Spec from any "start/end design spec" markers in the recording. |
| "Generate an EUP for AR invoicing. Client: E&I. Department: AR" | Builds an End User Guide with screenshots from your recording. |
| "Show my recent documents" | Download cards for everything generated in the last 5 days. |
| "Never mind, skip the document" | Cancels the current document Q&A. |

| "Did the guide mention a color sheet?" New | Searches the full text of the documents you taught it and quotes the passages, with how many times it appears. |
| "No — the shipping coordinator closes op 50, not the technician" New | Epic One corrects its memory. Corrections made in chat replace the old fact for everyone at the company. |

| "What do you recommend for…" / "What's the best way to…" New | A recommendation, why (the company material it rests on), what it would check live first, and where it isn't sure. It remembers whether you followed it. |
Epicor & ERP (Epicor mood; E2 JobBoss in General/Migration)
| You say | What happens |
|---|---|
| "How many open orders does Acme have?" | Live answer straight from Epicor — orders, customers, jobs, invoices, shipments, parts, vendors. |
| "List our EUPs" | Every saved procedure in the company knowledge base. |
| "How do I enter a credit memo?" | Finds the matching EUP and walks you through the steps. |
| "Add a new customer: Lud, Ludwig Solutions LLC, terms Net 30" | Epic One asks for any missing fields, shows an approval card with the exact changes plus an estimated cost and time, and — once you approve — performs the work itself in Epicor and confirms. |
| "Open Order Entry and check order 1234" | Drives the Epicor screen live and sends you screenshots as it goes. |
| "Export my open orders Hot Spot from E2" | Runs the Hot Spot in E2 and emails you E2's own Excel file; it's also downloadable in chat. |
| "Run stage 5 of the panel process for order 5012" New | Follows the stage your company taught it, step by step: reads first, asks if a value is missing, and every change goes through your approval. Progress shows as it goes; ask "status of my process runs" any time. |

Migration also has a visual Field Mapping screen — see ERP Automation.
Moods
Each mood focuses Epic One's toolset on a kind of work. Switch in Settings, or just say "switch to marketing mood" in chat. Moods are licensed per company — a mood you don't see needs enabling by your administrator (Fleet admin → Modules). Click a mood for what it does, how to set it up, and examples.
| Mood | Best for | What it unlocks |
|---|---|---|
| 🤖 General | Everything | Every tool your company is licensed for — the union of the other moods. E2 JobBoss browsing and hotspots live here (and in Migration). |
| 🏭 Business Systems | ERP and accounting work (Epicor, E2, Zoho Books…) | Reads, counts, creates, updates, bulk jobs, EUPs, supplier portals — every write behind an approval. Also Zoho Books when it's connected. Locked until you connect an ERP — Epicor, E2 or Zoho Books. |
| 📋 Project Manager | Docs & transcripts | Document generation, Dropbox learning, exports. |
| 📣 Marketing | Research & content | Website learning, article search across your media sources, images, podcasts and videos, document generation. |
| 🔄 Migration | Moving ERP data | Everything in Business Systems mood plus the migration toolset, legacy-system browsing, and hotspots. |
| ⚖️ Law | Legal practices | Drafting, firm marketing & advertising with bar-rule awareness, client communications, documents, media monitoring — no ERP tools. |
| 📢 Amplify | Community engagement | Monitor social & forums, a catalog of news feeds, and your own media sites for keywords; draft on-brand replies and posts — approval-gated. |
| 🎧 Help | Customer support | Zoho Help Desk tickets: read, summarise, suggest replies from your knowledge (and Epicor), and send replies, assign, change status or close tickets after your approval. |
| 🔎 Research | Building lists | Your own research sources and projects: gather from the sites you choose, check every row against other sites, see where each value came from, get it in Excel. |
| ✉️ Communications | Mail, meetings, Teams | Your own Microsoft 365: find and summarise email, suggested replies in your voice, book and move meetings with Teams links, Teams messages — everything sent only after you approve it. |
| 🛠️ Developer | Building in Epicor | Build and test BAQs (including updatable ones), dashboards, screen changes, UD fields, menu items and home-page tiles on Pilot, and back them up and move them between environments as Epicor solutions |
General mood
The everyday mood: every tool your company is licensed for, in one place.
What it's for
Day-to-day work that doesn't fit one lane — a question about a part, then a document, then a website to learn from. General is the union of the moods your company is licensed for, so it can do anything the other moods can; the other moods exist to keep Epic One focused and its answers sharper.
What it unlocks
- Every licensed mood's toolset at once (ERP, documents, research, migration, Amplify…).
- The shared basics every mood has: knowledge recall, saving what you teach it, transcripts, website scraping, custom tools, PDF export, team messaging.
- E2 JobBoss browsing and hotspots live here and in Migration.
Set it up
- Nothing to configure — it's the default mood. Say "switch to general mood" to come back to it from another mood.
- Your administrator controls which moods the company is licensed for (Fleet admin → Modules); General grows or shrinks with that list.
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "How many parts are in product group MOTOR?" | Counts in Epicor and confirms the number with a second read (ERP tools, if licensed). | Your Epicor login saved and the Business Systems mood in your company's plan. |
| "Turn this transcript into meeting minutes" | Generates the document from the uploaded transcript (PM tools). | The transcript attached first (📎). |
| "Learn everything about acme-motors.com and remember it" | Scrapes the site and saves what it learned to your company's knowledge. | Nothing. For a site behind a login, save that login under Saved Credentials. |
| "What do you know about our warehouses?" | Answers from the business map and recalls anything you've taught it. | Nothing. It answers from what it has learned and been taught. |

Business Systems mood New name
Your ERP, accounting and CRM systems, hands on: Epicor Kinetic, JobBOSS² (E2), Zoho Books and Pipeliner CRM today. Reads, counts, creates, updates, bulk work and saved procedures, with an approval before anything is written. This mood used to be called ERP; "switch to ERP mode" still works.
What it's for
Working directly in Epicor from chat: look things up, change records, create records, run bulk changes across hundreds of records, and run End User Procedures (EUPs) you've taught it. Also supplier-portal reads (prices, stock) through the browser.
What it unlocks
- Reads and counts on any business object — counts are confirmed by a second read before you're told the number.
- Creates and updates on any object: Epic One works out the required steps (it holds proven recipes for hundreds of objects, e.g. that a PO must be unapproved before a line changes) and asks you for any value it can't get.
- Bulk updates and creates as background jobs with a live progress bar; you keep chatting while they run.
- EUPs — procedures you recorded once, replayed on request; PO approval; purchased BOM roll-ups; cost estimates for cost-plus pricing.
- Supplier portals (ABB, Global Supply, Zoro…) read through the browser for prices and availability, with bulk reads across many parts.
- Zoho Books New — if you've connected Zoho Books, pick Zoho Books · your organization in the system chip and ask for customers, invoices, bills, items, payments or orders the same way. Changes show a preview naming Zoho Books and the organization, and wait for your approval.
- Print and email Epicor forms New — quotes, sales order acknowledgements, packing slips, purchase orders, job travelers, invoices and RMAs. Epicor makes the form exactly as Print → Generate Only would (your company's own report style, or one you name), and Epic One puts the PDF in the chat as a download, usually within a minute. Printing changes nothing, so there's no approval. Ask to email it and the email waits on the Approve card with the PDF attached and the subject and message editable; it's sent only when you approve. If your company has the Communications mood and you've connected Microsoft 365, it goes from your own Outlook to anyone you choose (customers included). Otherwise it comes to you from info@hearken.ai, ready to forward — and if your company has Communications but you haven't connected yet, the email reminds you to connect Microsoft 365 (Settings → Connections) so next time it goes straight from your Outlook. If Epicor can't make the form, you get Epicor's own reason.
- JobBOSS² API New — when your admin has connected it, Epic One reads JobBOSS² directly (read only): any record, one job's full picture, and totals. See ERP Automation.
- Pipeliner CRM New — accounts, contacts, opportunities, leads and tasks, with every change on an Approve card. See ERP Automation.
- The write gate: every write shows a preview with a cost/time estimate and an Approve/Deny row; nothing is written until you approve, and every attempt is audited.
- Duplicate parts New — one part or a whole list, with Epicor's own Duplicate Part: you give only the new number and description.
- Whole lists to Excel New — "export all parts / customers / vendors …" reads every row in the background and emails the file.
- Supplier prices keep their history New — a new price starts today unless you give a date, and the old one ends the day before; you're never asked for an effective date.
- E2 Hot Spots New — create one from a description, fix its SQL, or export any Hot Spot and get E2's own Excel file by email.
Set it up
- Your admin adds each Epicor environment once (Pilot, Live…) in Settings → Connections → Business Systems → Epicor: its address, a color, the Epicor Company ID and the instance's API key if it has one. Everyone in the company shares these.
- Then each person adds their own login to an environment in the same place (username/password, OAuth or Epicor Identity, whichever your instance uses). New The company's environments are listed there as soon as you open it, even before you've added a login.
- Pick your active system with the chip beside the chat title — an Epicor environment, E2, or Zoho Books. Writes only ever go to the selected one. If you have just one Epicor environment, it's used automatically.
- For Zoho Books: Settings → Connections → Zoho, tick Zoho Books and connect (see Settings).
- For the JobBOSS² API or Pipeliner CRM: an admin adds the company's connection under Settings → Connections → Business Systems.
- The first time an environment is saved, Epic One discovers its business objects and your custom (UD) fields automatically. Nothing to run.
- Optional: record procedures with the 🎬 button to give it EUPs; add supplier logins under Saved Credentials for portal reads.
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "How many motor parts are missing the MWH warehouse?" | Reads Parts and PartWhse, computes the difference, confirms the count. | Epicor connected and the right environment picked in the system chip. |
| "Add the MWH warehouse to all 148 of them" | Shows a preview with the record count and estimate → Approve → background job with progress and a completion message. | Epicor connected and the right environment picked in the system chip. You approve the preview before anything is written. |
| "Change the description of part 1250HP to "Pump, 1250 HP"" | Preview → Approve → keyed update → reads the record back to confirm. | Epicor connected and the right environment picked in the system chip. |
| "Add a line to PO 4027 for part X, qty 5" | Knows the PO must be unapproved first, shows that in the preview, does unapprove → change → re-approve. | Epicor connected and the right environment picked in the system chip. |
| "Create revision B of part 1250HP" | Creates the PartRev under the existing part with the fields it needs; asks for any it can't get. | Epicor connected and the right environment picked in the system chip. |
| "Run the EUP "Create a supplier price list" for vendor ABB" | Finds the procedure, collects the missing values in one message, runs it. | The procedure recorded once with 🎬 (or taught from a document). |
| "Print quote 10204" | Epicor makes the quote form; the PDF appears in the chat as a download. | Epicor connected and the right environment picked in the system chip. |
| "Email packing slip 156 to me" | Makes (or reuses) the PDF and puts the email on the Approve card with it attached; sent when you approve. | Epicor connected and the right environment picked in the system chip. Your email address on your profile. |
| "Send invoice 9052 to the customer's AP contact" | With your Outlook connected: reads the contact's email from Epicor, then the same Approve card — you can change the recipient or message first. Without it: the invoice comes to you to forward. | Communications in your plan and Microsoft 365 connected; without it the email comes to you to forward. |
| "Pull last week's Zoho Books timesheets into Excel with an Hours column and a pivot by user and date" | Reads every time entry and builds the file from what Zoho returned, without retyping, so no row is changed. It adds real Excel formula columns (e.g. Hours = Time × 24, Date as mm/dd/yyyy) and a real Excel PivotTable: users down the side, dates across, totals, and a task filter you can change. If you taught Epic One how you do it (your own rounding, which tasks to leave out), it follows your saved process. The file comes to you in the chat and by email. | Zoho Books connected (Settings → Connections → Zoho) and picked in the system chip. |
| "What's the purchased BOM for part 2418-923 rev A?" | Walks the BOM down to purchased components and lists them. | Epicor connected and the right environment picked in the system chip. |
| "Duplicate part 1250HP as 1250HP-B, “Pump, 1250 HP, blue”" New | One Approve card. Epicor's own Duplicate Part copies the part (type, units, class, plants…) under the new number and description, then the new part is read back to confirm. | Epicor connected and the right environment picked in the system chip. The new part number must not exist yet. |
| "Duplicate these parts:" + a list (part to copy, new number, new description) New | One Approve card listing every copy, any length of list. It runs in the background with progress; a row that can't be copied (new number already used, part to copy not found) is skipped and listed with the reason. | Epicor connected and the right environment picked in the system chip. |
| "Export all parts with part number and description and email it to me" New | Reads every row with one Epicor query (seconds, even for long lists; it falls back to page-by-page reading if that can't be used), builds an Excel file, emails it and posts a download here. | Epicor connected and the right environment picked in the system chip. Your email address on your profile. |
| "Set ABB's price for part 4010N to $12.50" New | Approve card first. The supplier price list keeps its history: a new row starts today (or on the date you give) and the previous price ends the day before. The same price again changes nothing. | Epicor connected and the right environment picked in the system chip. The supplier and the part already in Epicor. |
| "Create an E2 Hot Spot for open POs with vendor, part and unit cost, and email me the Excel" New | Checks every table and column name against your E2, shows the SQL on an Approve card, creates the Hot Spot, exports it once and emails you E2's own Excel file. | Your E2 login saved (Settings → Saved Credentials). Names are checked against your E2 through the EpicOne_Schema Hot Spot; Epic One offers to create it the first time. |

Project Manager mood
Transcripts in, documents out — minutes, action items, trackers, reports, and the Discovery, Planning and Design Spec documents.
What it's for
Turning meetings and work sessions into documents, keeping a record of what was done for customers, and learning from your Dropbox so documents match your house style.
What it unlocks
- Document generation from a transcript or a conversation: meeting minutes, action-item lists, trackers, status reports, Discovery documents, Planning documents, Design Specs, work-session logs — each in your company's format once it has learned your templates.
- Dropbox learning: point it at a folder and it learns your document formats and content; export finished documents back to Dropbox.
- PowerPoint decks New: real .pptx files in your brand, with bullets, speaker notes and screenshots of any public website (e.g. one slide per client with their homepage).
- The document Q&A: it asks for the details it's missing one question at a time, then builds the document.
Set it up
- Settings → Dropbox: connect your Dropbox so it can learn from and export to your folders.
- Admins: Admin → Document format templates — upload example documents so generated ones match; or say "learn my document templates from Dropbox".
- 📎 → Create documents from it for a transcript or recording (audio, video or text); recorded meetings from the 🎬 button land here too.
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "Make a PowerPoint with a slide for each client in Client Bios.docx and a screenshot of their homepage" New | Reads the attached document, screenshots each site, and posts the .pptx as a download chip. Sites that block screenshots are listed. | Client Bios.docx attached to the same message (📎). |
| "Turn this transcript into meeting minutes with action items" | Drafts minutes in your format; asks for anything missing (attendees, date) before building. | The transcript attached with 📎. For your own format, an admin uploads your minutes template. |

| "Log a work session for Acme: I fixed their PO approval BPM" | Creates an internal or client-ready work-session record. | Nothing. |
| "Learn from my Dropbox folder Projects/Acme" | Reads the folder, learns formats and facts, reports what it learned. | Dropbox connected (Settings → Dropbox). |
| "Export that to Dropbox under Acme/Minutes" | Saves the document into your Dropbox. | Dropbox connected. |

Marketing mood
Research and content: learn from websites, search your media sources, write the piece — and turn what Epic One knows, or your own footage, into images, podcasts and videos.
What it's for
Producing marketing content grounded in real material: your own site, competitor sites, your Dropbox, and coverage in the media outlets you follow — including podcasts and videos built from your company's own knowledge.
What it unlocks
- Website learning — learn a site (yours, a competitor's, a supplier's), including login-gated sites with saved credentials; what it learns is kept in your company's knowledge.
- Images — "draw", "render" or "mock up" a picture; it appears in the chat with a download button.
- Podcasts — a two-host episode (2-15 minutes) written only from what Epic One knows about your company, voiced with AI speech, with show notes and the knowledge it drew on. Plays in the chat.
- Videos — a narrated explainer (1-5 minutes) from the same knowledge: real stock footage, captions and music, rendered in the background and posted into the chat when ready (usually 5-15 minutes). Ask for the quick version and it returns a narrated slideshow immediately.
- Videos from your own footage New — upload your clips (and logo), paste your brief, and Epic One builds the video from them, in your brand, and changes it whenever you ask. See Videos from your own footage below.
- Article search across your Media Sources (newspapers, TV, trade press) by keyword, with a ranked list of real articles.
- Content and documents — newsletters, posts, web copy, campaign briefs, in your format.
Set it up
- Settings → Media Sources: add the outlets you follow (name + URL). Mark "requires login" for gated sites and save that login under Saved Credentials with the same name.
- Settings → Saved Credentials: logins for any sites it should learn from behind a login.
- Optional: connect Dropbox in Settings. Podcasts, videos and images need nothing set up — but they only know what you have taught Epic One, so teach it first (website, Dropbox, chat).
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "Learn everything about acme-motors.com" | Reads the site page by page, saves what it learned, tells you what it now knows. | Nothing. For a site behind a login, save that login under Saved Credentials. |
| "Make a 5-minute podcast about what we do for customers" | Gathers what it knows, writes a two-host conversation, records it, and plays it in the chat with show notes. | Teach Epic One about your company first (its website, Dropbox, or just tell it). |
| "Make a 2-minute video on our warehouse process" | Writes the script from your knowledge, renders it with stock footage, captions and music, and posts it here when ready. | Teach Epic One about your company first (its website, Dropbox, or just tell it). |
| "Make a 60-second commercial from my clips: Jake intro, panel close-ups, our phone number on the end card" New | Plans the scenes from your clips and brief, renders it in your brand with Jake's own voice and captions, and posts it with the scene list, the .srt captions file and the end card as a PNG. | Your clips uploaded with 📎 → Create multi-media. Your brand colours and fonts told to Epic One once. |
| "Swap scene 3 for the nameplate clip and make a 4:5 version for social" New | Changes only that, renders a new copy (the original is kept) and lists what changed. | A video Epic One made from your clips. |
| "Draw a picture of a clean modern fabrication shop floor" | Generates the image and shows it in the chat. | Nothing. |
| "Search my media sources for "rate increase" this month" | Searches each outlet and returns a ranked list of real articles with links. | Your outlets added under Settings → Media Sources. |
| "Draft a newsletter about the new service plans, in our voice" | Writes it from what it has learned about you; hand it back for edits. | Teach Epic One about your company first (its website, Dropbox, or just tell it). |
Videos from your own footage New
Your real footage — someone talking on camera, close-ups of your product — becomes a finished commercial with your colours, fonts, logo, titles, captions and music. You describe it the way you would to an editor; Epic One plans the scenes, builds it, and changes it when you ask.
- Upload your clips. 📎 → Create multi-media, pick the files (add your brief if you have it) and press Send. Several at once is fine: videos (.mp4, .mov from an iPhone, .m4v, .webm, up to 480 MB each) and your logo or stills (PNG or JPG — save an SVG logo as PNG). Epic One looks at each one and lists it in the chat with a clip number, what's on screen second by second, and what is said in it. Clips are kept for 30 days.
- Give your brand once. Tell Epic One your colours (hex), fonts (any Google Font, e.g. Work Sans for titles, Roboto Mono for part numbers), whether titles are uppercase, which uploaded image is your logo and whether it may sit on dark footage — and the names people say on camera, so captions spell them right. It saves them and every video uses them. Say "show my video brand" to see them.
- Ask for the video. Paste your brief or describe it: length, shape (16:9, 4:5 for social, 9:16 for stories, 1:1), the scenes in order, on-screen text, what to leave out ("no AI voice", "no stock footage"). Epic One renders it in the background (usually a few minutes) and posts it with the scene list.
- Ask for changes. "Swap scene 3 for clip 2", "make the end card hold longer", "shorter", "make a 4:5 version", "a silent 8-second loop of the panel shots, no text". Each change is a new copy; the original is kept.
What goes into the video:
- Someone speaking keeps their own voice: the clip fills the frame, the sound is cleaned up and levelled on every video (an iPhone recording comes out clearer), captions follow what they say sentence by sentence (or none — just ask), and other clips can play over their voice while they keep talking, full frame or in a picture-in-picture box in the corner you choose, so the speaker stays in view.
- Better picture New: grainy or dull phone footage? Ask for "better colour and less grain" and every clip gets a light clean-up — less grain, a little more contrast and colour, sharper detail.
- On-screen text in your brand: titles and subtitles, a name lower third ("Jake Kilian — Chief Commercial Officer"), option and spec cards, part numbers in your mono font, small chapter labels ("Drive"), callouts with a leader line to the part they name (Epic One finds the part in the shot), and an end card with your logo, website and phone.
- Your clips, exactly: the part of a clip to use (to the second), a slow push-in, filling the frame or showing all of it so no label is cut off, transitions per scene.
- Icons for a row like "Water injection • Lift stations • Aeration • Fans & blowers", drawn in your accent colour.
- Music from a licensed library, chosen by mood and purpose (e.g. confident, corporate), cut on the beat and turned down about 18 dB whenever someone speaks.
- With every video: the captions as an .srt file and the end card as a PNG. AI-generated pictures only if you allow them.
Epic One checks facts against your brief: part numbers, ratings and phone numbers are used exactly as you wrote them, and anything you left blank is left out and listed for you to fill in. It tells you plainly about the few things that still need a human editor — a speed ramp, or a cut in the middle of a sentence.

Migration mood
Move data between Epicor environments, or from a legacy system into Epicor — mapped, compared, validated, then written.
What it's for
Migrations and cut-overs: Pilot to Live, an old Epicor to a new one, or JobBOSS²/E2, QuickBooks, Sage and the like into Epicor Kinetic. It is the only mood allowed to write across environments, and only to a target you name.
What it unlocks
- Everything in Business Systems mood, plus the Migration page: pick FROM (an Epicor environment, E2, Zoho Books or a file) and TO (an Epicor environment).
- The migration board — Master Data (phases 1-4, a standard checklist) and Open Transactions (quotes, orders, jobs, POs …), each item in dependency order with its status. See Data Migration.
- Map fields with scenarios New (different mappings for different kinds of rows) and cross-references New (old customer / vendor / bill-to IDs → new).
- Check, test one record, load — a read-only check, a one-record test, then a load on an Approve card. E2 sales orders load with a one-time ship-to New and the bill-to is checked against Epicor New.
- Order lines, releases and purchase orders from E2 New, including motor orders set up as buy-to-order and drop ship on both the sales order release and the PO release. See Data Migration.
- It is the only mood allowed to write across environments, and only to the TO you picked.
Set it up
- Save logins for both sides under Settings → Saved Credentials (the E2 login too, if you migrate from E2).
- Open the Migration page, pick FROM and TO, and pick the topic (Master Data or Open Transactions).
- Say "switch to migration mood" to work through it in chat; cross-environment writes are refused in every other mood.
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "What's next on the migration board?" | Shows the next unfinished item (Terms, Customer, Sales Order …) and what it still needs. | Migration in your plan; FROM and TO picked at the top of the Migration page. |
| "Refresh the sales orders" | Reads the item's source again (an E2 Hot Spot, an Epicor environment or a file) and marks every row new, changed or unchanged. | A source picked on the item (Migration page → the item → Source). |
| "Map the fields for Sales Order" | Proposes a mapping from the source's columns; it's saved only when you agree. On the screen, Map fields shows each column with an example value. | The item staged (refreshed) once. |
| "Run the check on Sales Order" | Nothing is written. Lists code values to translate (and those it translated automatically), cross-reference gaps, empty required fields, bill-tos to review, and how many records would be created or updated. | A saved mapping. |
| Map fields → Test with one record | Approve card for one record; it's written to the TO environment and what Epicor saved is compared with what was sent. | The check passed. |
| "Load the sales orders" | Tells you where to approve: the item's Load card with the counts. The load runs in the background; running it again updates what changed instead of adding duplicates. | The check passed for the current data and environment. |
| "Load the order releases" | Same Load card. Releases whose order line isn't in Epicor yet wait and load on a later run; motor releases are created buy-to-order and linked to their PO afterwards. | Sales orders and order lines loaded first. |
| "Compare vendors between Pilot and Live" | Reads both environments and reports differences and duplicates. | Logins for both environments. |
| "Create an E2 Hot Spot for open POs and export it" | Same as in Business Systems: names checked, Approve card, E2's Excel file emailed. | Your E2 login saved (Settings → Saved Credentials). Names are checked against your E2 through the EpicOne_Schema Hot Spot; Epic One offers to create it the first time. |

Law mood
For a legal practice: drafting, client communications, firm marketing and advertising, media monitoring — with the bar rules in reach.
What it's for
Drafting and content for the firm: engagement letters, client alerts, intake and process documents, research summaries, newsletters, website copy and ads — plus transcripts to documents, Dropbox learning, website learning and article search. No ERP tools.
What it unlocks
- Every Project Manager and Marketing capability (documents, Dropbox, website learning, article search, images, podcasts and videos) in a practice-aware voice.
- Attorney-advertising awareness: for ads, social posts and other advertising content it consults the professional-conduct rules it holds and adds a short compliance note for the attorney to review.
- Media monitoring across your Media Sources for matters, clients, judges, opposing parties or topics.
- Everything drafted is for attorney review — it drafts freely and says so.
Set it up
- Settings → Media Sources: the outlets you follow (local papers, court reporters, TV).
- Admins: document format templates (engagement letter, client alert…) so drafts match the firm's style; connect Dropbox for the firm's documents.
- Optional: Saved Credentials for gated sites.
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "Draft an engagement letter for a new estate-planning client" | Asks for the specifics it needs, drafts in the firm's format for review. | For the firm's format, an admin uploads its engagement-letter template (Admin → Document format templates). |
| "Search my media sources for "Pulaski County" and "zoning" this week" | Returns a ranked list of real articles from your outlets. | Your outlets added under Settings → Media Sources. |
| "Write a social post advertising our injury practice" | Drafts the post and appends a compliance note citing the relevant advertising rules. | Nothing. |
| "Summarize this deposition transcript and list the follow-ups" | Produces the summary and an action list from the uploaded transcript. | The transcript attached with 📎. |
| "Draft a client alert about the new lease-disclosure law" | Writes the alert from what it has learned; hand it back for edits. | Teach Epic One about the firm first. |

Amplify mood
Find the conversations that matter — social, forums, news feeds and your media sites — and answer or share in your own voice, with your approval.
What it's for
Watching what's said about the things you care about and acting on it: answering forum questions from your knowledgebase, engaging on social, and sharing relevant news. A licensed add-on.
What it unlocks
- Channels you configure once: connected accounts (X, LinkedIn, Reddit, any web forum, LinkedIn monitoring), the Default feeds catalog of news and industry RSS feeds, and Media — your own Media Sources.
- Rules: a source + keywords + actions, checked on your interval. Actions: email you; post about it; reply, like or repost — public actions wait in an approval queue; learn for me / learn for the company New — Epic One reads the matched article and remembers what it teaches.
- Forum auto-answer: reads the full question, consults your knowledgebase, drafts a correct how-to answer, queues it for approval.
- Posting on command: "post this to my X" shows the exact text and posts after you confirm.
Set it up
- Ask your administrator to enable the Amplify module (Fleet admin → Modules) if you don't see the mood.
- Settings → Amplify Connections: connect X and LinkedIn (one click), Reddit (API keys), any forum (login + search URL), and LinkedIn monitoring (username/password). Open Default feeds and tick the feeds you want; open Media and tick the media sites.
- Settings → Amplify Rules: create rules — pick a source (a channel, a keyword feed or a forum), keywords, interval and actions.
- Review the approval queue in Settings or ask "show my Amplify approvals".
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "Watch the default feeds for automation and robotics and email me" | A rule on the Default feeds channel across every feed you enabled. | Amplify in your plan; the feeds ticked under Settings → Amplify Connections → Default feeds. |
| "Watch my media sites for Little Rock and hospital funding and draft a post" | Searches each enabled media site; drafts a share post per new article, queued for approval. | The media sites ticked under Settings → Amplify Connections → Media. |
| "Watch the Epicor Users Group forum for scheduling questions and draft answers" | Reads new threads, drafts knowledgebase-grounded answers, queues them. | The forum connected (login + search URL) under Settings → Amplify Connections. |
| "Post "…" to my LinkedIn" | Shows the exact wording, posts on your confirmation, returns the link. | LinkedIn connected (one click) under Settings → Amplify Connections. |
| "Show my Amplify approvals" | Lists waiting drafts and actions — approve or reject each. | Nothing. |

Screen Recordings
- Click the 🎬 button in the chat header.
- Choose what the recording is for:
- 🧠 Teach Epic One a process — it watches and saves a reusable step-by-step procedure (name the system, e.g. "E2 JobBoss").
- 📄 Generate an End User Guide — a formatted training document with screenshots.
- 📋 Log a customer work session — a record of what you did for a customer (Internal log or Client-ready summary).
- Click 🔴 Record Screen (or 📁 Upload File for an existing video). When the browser asks what to share, pick Entire Screen — not a browser tab.
- You get a 5-second countdown to switch to the application you're demonstrating.
While recording
A control bar appears in the chat header — 📸 Snap · ⏱ 3s · ⏸ Pause · 📌 · ⏹ Stop:
- 📸 Snap (⌘⇧S / Ctrl+Shift+S) — capture the exact screen you're on. Snaps are added to the automatic screenshots at the right point in the timeline, and they're never filtered out.
- ⏱ 3s Timed snap (⌘⇧D / Ctrl+Shift+D) — the capture fires 3 seconds after you click, giving you time to open a right-click menu or dropdown in the app you're recording. Clicking a normal snap would close the menu; the timed snap catches it open.
- ⏸ Pause / ▶ Resume (⌘⇧P / Ctrl+Shift+P) — paused time doesn't exist in the final video. Snapping still works while paused.
- 📌 Pop-out — opens a small floating panel that stays on top of every app and tab, so you can snap and pause without returning to this tab. Drag it to a corner. Chrome or Edge required.
- ⏹ Stop — ends the recording and uploads it automatically.
Tip: keyboard shortcuts work when the Epic One tab or the floating panel has focus — click the panel once, then work your other screen.
Automatic screenshots trigger whenever the screen changes — including smaller changes like menus and dialogs opening. Near-identical frames are pruned automatically, and you approve the final set before any document is generated.
Teaching a process Improved
- The whole recording. Epic One watches every screen change from start to finish, plus anything you say while recording. It learns each step exactly as you did it: the menus, the settings in each dialog (for example which filter items you unticked before clicking OK), the formulas you typed, character for character, and what you did after an export (new columns, date formats, pivot tables). Each step keeps a screenshot.
- Where it's saved. A process you record is saved to your own knowledge straight away. If you're an admin, Epic One asks whether to save it for everyone at your company too; if you don't answer, it stays yours. Later, an admin can say "share my timesheet process with everyone".
- Using it. Ask for the result in your own words, e.g. "pull last week's timesheets into Excel", and Epic One follows the saved steps. Ask "what procedures do you know?" to see them.
- The video itself isn't kept in cloud storage. It stays on your company's Epic One server until the server restarts (at most 7 days), so Epic One can look again while you check what it learned: "look at the recording again — what did I do at 2:30?" After that, the learned steps and their screenshots remain.
Changing what it learned New
Teach it again, or just say what's different. Epic One combines the new with the old, or replaces only what you mean, based on what you say and what you show it:
- "This is the new way, redo it" — replaces the steps.
- "Also email it to payroll after the pivot" or a short recording of just that part — adds the steps in the right place and keeps the rest.
- "In the timesheet process, round Hours up to the next 15 minutes for each entry" — changes exactly that step.
- If the new and the old disagree and you haven't said which is right, it keeps the old step and asks you.
It tells you what changed. The last five versions are kept: say "go back to the earlier version" to undo. A change to a procedure everyone uses is saved just for you unless you're an admin.
Spreadsheets it remembers New
When a process ends in a spreadsheet, Epic One also remembers the result: the columns you added and their formulas, and the pivot table with its rows, columns, totals and filter. It also remembers the exact data read that worked. Every file you ask for afterwards is built that way, every time. The pivot is a real Excel PivotTable, so you can drag fields or change the filter yourself.
🖱️ Click Capture extension (optional, best results)
For a screenshot at every click and right-click — including context menus and across ERP tabs opened with "Open With" — install the Epic One Click Capture browser extension. It sends only the time of each click on your ERP sites (never page content or typing); Epic One then pulls a frame from your recording at each of those exact moments.
- Download the extension and unzip it to a folder you'll keep.
- In Chrome/Edge open
chrome://extensions, turn on Developer mode (top-right), click Load unpacked, and pick that folder. - Open the Epic One site while logged in (this links the extension to your account), then click the extension's icon: turn on Capture clicks and list your ERP site addresses (e.g.
epicorsaas.com).
No extension? The ⏱ timed snap and the automatic capture cover the same ground manually — the extension just makes it effortless.
The Document Q&A
Whenever Epic One needs details for a document, it asks conversationally — one question at a time:
- EUP recording — process name, client, department.
- Work-session recording — customer, and what you worked on.
- Uploaded transcript or meeting recording — which documents you want, then which customer they're for.
- Answer naturally — casual phrasing is understood, and one message can answer several questions at once.
- Move on freely New — if your next message isn't an answer, Epic One sets the document question aside (it says so) and answers you normally. A question nobody answers lapses after five minutes, so it never catches a later message by surprise.
- Cancel anytime — say "never mind, skip the document."
Reviewing Screenshots
Approval is built in: whenever a document will embed captured screenshots (End User Guide, Work Session, Discovery, Planning, Design Spec), Epic One posts the screenshots in the chat before generating anything and waits for your OK.
- After you answer the document questions, Epic One shows every screenshot it captured.
- Click any frame to view it full size.
- Replace a frame with the ↻ button — upload a better image and it's swapped into the set that goes in the document.
- Click ✓ Approve & Generate (or reply approve) to build the document, or ✕ Cancel (or reply cancel) to skip it.
You can also review frames anytime by saying "show me my screenshots". Blank loading screens and shots of the Epic One window are filtered out automatically — but your manual snaps are always kept.
Documents & Transcripts
- Click 📎 → Create documents from it and pick one or more files: a transcript (.txt, .docx, .pdf, .vtt, .md), a meeting recording (.mp4, .mov, .webm, .m4a, .mp3, .wav), or both together. Recordings without a transcript are transcribed automatically — longer meetings take a few minutes.
- Epic One reads it, gives you a quick summary, and asks — one question at a time — which documents you want and which customer they're for. Just answer naturally.
- If screenshots were captured and your chosen document uses them, Epic One shows you the screenshots for approval first (see Reviewing Screenshots).
- When a document is ready, Epic One posts a download card right in the chat — click it to save the file. Every document also lands in Dropbox → transcript-pipeline/output.
Video + transcript together = documents with screenshots. Attach both files to one message: Epic One takes the text from the transcript and pulls screenshots from the video, then embeds them in whatever you choose — End User Guide, Discovery, Planning, or Design Spec.
Re-download anytime: say "show my recent documents" to get download cards for everything from the last 5 days. Server copies are kept 5 days; Dropbox keeps them forever.
Document types
| Type | What you get |
|---|---|
| Meeting minutes | Structured summary of the meeting (also the default). |
| Action items | Task list — pair it with an Excel tracker for owners, due dates, and priorities. |
| Report | Project report / summary document. |
| Discovery | Discovery document following your company's learned format. |
| Planning | Planning document following your company's learned format. |
| Design Spec | Design Specification following your company's learned format — see below. |
| End User Guide | Training guide (best from a screen recording — see that section). |
The design-spec trick
During a planning session, say "start design spec" out loud, discuss the design, then say "end design spec". When Epic One builds your Planning document it detects those markers and automatically writes a separate Design Spec from everything you said in between. You can mark several sections in one meeting.
Learned formats (admin)
Discovery, Planning, and Design Spec documents copy the structure of example documents Epic One has memorized. An admin drops one example per type into Dropbox → transcript-pipeline/templates (the filename names the type, e.g. Discovery Example.docx) and tells Epic One "learn my templates". Any new example file becomes a brand-new document type — no code changes needed.
Work Session Documents
Record your working session (see Screen Recordings, choose 📋), pick a style, and answer two questions — which customer, and what you worked on.
- 🗒 Internal log — factual and specific: systems touched, records changed, exact values, issues and workarounds.
- 🤝 Client-ready summary — polished and value-oriented; safe to send to the customer as-is.
Every document includes the customer, your name, the date, the session length (measured from the recording), a task-by-task narrative with screenshots, and a Follow-ups & Next Steps section.
When it's ready, Epic One posts a download card in the chat (kept 5 days) and the document is saved permanently to Dropbox → transcript-pipeline/output.
Bonus: each session is saved to Epic One's memory under the customer's name — later you can ask "what have we done for Acme this month?"
End User Guides & EUP Execution
Creating a guide
Record the process (see Screen Recordings, choose 📄), answer the Q&A, review the screenshots, and Epic One writes a formatted Word document — numbered steps grouped by task, one screenshot per section, and a metadata table. The finished guide arrives as a download card in the chat and is saved to Dropbox → transcript-pipeline/output.
A guide or a video from a saved procedure New
Once Epic One has learned a process, ask "make an end user guide for the timesheet process" for a Word document with every saved step and its screenshot, or "make a walkthrough video of it" for a step-by-step video (each step's screenshot and caption, read aloud unless you say otherwise). Both use the saved steps word for word. The video is a walkthrough, not the original recording. These come with the Project Manager mood.
Running a saved procedure
Procedures Epic One has learned can be executed, not just read. In Epicor mood, try: "Add a new customer: Lud, Ludwig Solutions LLC, terms Net 30." Epic One asks for any missing fields, shows an approval card with what it will change, then performs the work — directly through Epicor's system interface when possible, or by driving the browser step by step, sending you screenshots as it goes.
Help mood New
Your help desk, answered in your words: Zoho Help Desk tickets read, summarised and replied to. Every reply and change waits on your Approve card.
What it's for
Working your support queue from chat: see what's open, understand what a customer needs, and answer them from what your company has taught Epic One — without opening Zoho. A licensed add-on.
What it unlocks
- Tickets: list, search and read tickets and their full conversations, and summarise a long thread in a few lines. "What's open?", "mine" and "overdue" come from your own saved Help Desk views, such as All Epicor Tickets - Open or My Open Requests. A ticket number like #6483 finds the ticket directly.
- Suggested replies: Epic One reads the whole conversation (without quoted history and signatures), looks up what your company has taught it, and writes the way your help desk writes, based on its earlier replies on the ticket. If the customer asks about Epicor (a record, an error, how something works), Epic One looks it up first and quotes exact values. It only reads Epicor and Zoho Books from Help mood, never changes them. Anything it doesn't know is left as a blank like [confirm date].
- Approving a reply: the suggested reply waits on the Approve card in chat, the same card used for emails. Tap it to see who it goes to, the From address and the full text.
- Show the ticket opens the conversation so far.
- Edit lets you change the text before it goes.
- Approve sends it in the ticket, so the customer gets it. Reject sends nothing. Save as draft saves it on the ticket unsent, for an agent to finish in Help Desk.
- A reply with a [confirm …] blank can't be sent until you fill it in.
- Every reply ends with "Email sent by Epic One · https://www.hearken.ai".
- Assign, change status and set fields: say it in your own words ("assign 6483 to Craig", "put 6483 on hold", "set Problem Type to Epicor"). Epic One matches field names and checks that values are real choices for that field. The Approve card names the ticket and lists each change, and nothing happens until you approve.
- Closing rules: tell Epic One which fields must be filled in before a ticket is closed, e.g. "closing a ticket needs Problem Type and Resolution Type". From then on, when you ask to close a ticket, Epic One suggests likely values from the conversation and asks you to confirm them. A close without them isn't allowed. The rule applies to your whole company.
- Morning brief: your brief gets a Help Desk line, e.g. "🎫 Help Desk: 8 open in All Epicor Tickets - Open — 2 where the customer replied and is waiting on us; 1 overdue", with the ticket numbers. To count a different view, say "use My Open Requests for my morning brief".
- Contacts and accounts: look up who a customer is and their ticket history.
Set it up
- Ask your administrator to enable the Help module (Fleet admin → Modules) if you don't see the mood.
- Settings → Connections → Zoho: tick Zoho Help Desk and connect it (see Settings). Either way works:
- Zoho API, if your Zoho account can create a Self Client.
- Your Help Desk email and password, if it can't. Epic One signs in once in the background, keeps that session, and works with Help Desk directly; it doesn't click through screens. This needs a login without two-factor codes. If Zoho temporarily blocks sign-ins, Epic One tells you and tries again an hour later.
- Say "switch to help mood", or pick Help in the mood chip.
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "What tickets are open and assigned to us?" | Lists the tickets in your open view, with customer, subject and who has each one. | Help enabled for your company and Zoho Help Desk connected (Settings → Connections → Zoho). |
| "Summarise ticket 6483" | Reads the whole conversation and tells you what the customer needs and what's been tried. | Help enabled for your company and Zoho Help Desk connected (Settings → Connections → Zoho). |
| "Suggest a reply to 6483" | Writes the reply from what Epic One knows (and Epicor, if needed) and puts it on your Approve card. Approve sends it in the ticket. | Help enabled for your company and Zoho Help Desk connected (Settings → Connections → Zoho). Business Systems connected if the answer needs Epicor data. |
| "Close 6483" | Suggests Problem Type and Resolution Type from the conversation, asks you to confirm, then shows the close on the Approve card. | Help enabled for your company and Zoho Help Desk connected (Settings → Connections → Zoho). Your closing rule saved, if your company has one (last example). |
| "Assign 6483 to Craig" | Looks Craig up among the agents and shows the change on the Approve card. | Help enabled for your company and Zoho Help Desk connected (Settings → Connections → Zoho). |
| "Closing needs Problem Type and Resolution Type" | Saves the closing rule for your company. | Help enabled for your company and Zoho Help Desk connected (Settings → Connections → Zoho). |

Research mood New
Build a checked list about anything, from the sites you choose: who to market to, suppliers, competitors, grants, properties. Every value shows the page it came from.
What it's for
Finding many things that match what you describe, then checking each one against other sources, without copying and pasting between websites. Nothing is built in: you choose the sites, what you're looking for, and the columns you want. A licensed add-on.
How it works
- Research Sources. Add the sites you research from under Settings → Connections → Research Sources: a directory, a state registry, an industry association, anything. Say what each one is good for in your own words. For members-only sites, enter the login right there (or pick a saved one) and Epic One signs in as you. Epic One works out how to search each site; press Test to see real results.
- A project. Tell Epic One what you want ("a list of commercial cleaning companies in Austin with phone, address and year founded"), or use + New on the Research page. You choose the columns, where to gather from, and which source checks which column (for example "phone and address from its own website; registration date from my state registry"). Epic One shows you the setup and only saves it when you say yes.
- Gather. Epic One searches your sources, reads the pages, and adds what it finds. It runs in the background with a progress bar; you can keep chatting, stop it, and resume it later.
- Verify. Each row is looked up on the sources you chose for each column. Blanks are filled, values are confirmed, and where two sources disagree both are kept and flagged; nothing is overwritten. Rows no source can find are marked "not found", with the sites that were tried.
- Use the list. Ask "how many have no phone?" or "show the ones founded before 2000", filter on the Research page, or say "email me the list" for an Excel file. Its second sheet shows where every value came from.
Set up a research project, step by step
Before you start: your company needs the Research module (your administrator turns it on under Fleet admin → Modules). You'll then see Research in the mood picker and in your account menu, and Research Sources under Settings → Connections.
Part 1 — Add the sites you research from (optional, but it makes the results much better)
- Open Settings → Connections → Research Sources and click + Add research source.
- Name it, e.g. "State business registry".
- Enter its web address.
- Pick a type: Directory, Registry, Company data or Other.
- Under What it's good for, say in your own words what the site has, e.g. "registration dates and status for any company". Epic One uses this to decide which site to use for which column.
- Members-only site? Under Sign in with, choose + New login for this site… and enter your username and password (and the sign-in page if it differs from the site's address) — or pick a login you already saved. The login is also kept under Saved Credentials, and Change login updates it later. Epic One signs in as you and only sees what your login can see.
- Click Save source. Epic One works out how to search the site and shows it under "How it's searched".
- Click Test, type a few words and press Run test to see real results. If they look wrong, press Work it out again, or paste the site's own search address with
{q}where the words go and press Use this address.
News sites belong in Media Sources. A project can use those too.
Part 2 — Create the project (on the Research page, or just tell Epic One in chat)
- Open your account menu → Research, then click + New.
- Project name, e.g. "DFW accounting firms".
- What are you looking for? Describe it plainly and specifically, e.g. "independent accounting firms in Dallas–Fort Worth". The more specific, the better the results.
- Columns: type each piece of information you want and press Enter, e.g. City, Phone, Website, Year founded. "Name" is always included.
- Gather from: tick Web search and/or any of your sources.
- Check each column against: for each column, tick where it should be confirmed. Its own website is good for phone, address and website. A registry is good for dates and status. A column with nothing ticked is only filled if a gather page happens to show it, and the setup warns you.
- Filters (optional): one per line in plain words, e.g. "founded before 2000".
- Limits: how many new rows and pages each run may use (100 and 500 by default). Start small, e.g. 25 rows, to check the quality before a big run.
- Tick Share with my company if colleagues should see and run it. Only you can change or delete it.
- Click Save project. Any ⚠ warnings point out gaps to fix with Edit.
In chat instead: say "switch to research mode", then describe what you want. Epic One shows the full setup and saves it only when you reply yes; ask for changes before saying yes.
Part 3 — Gather
- Click Gather (or say "gather"). A progress bar shows the searches and pages read. You can keep working, or press Stop.
- When it finishes, Epic One posts a summary: how many were added, from how many pages, and anything it couldn't read.
- Run Gather again to add more. Nothing is added twice. After a Stop, use Resume last gather.
Part 4 — Verify
- Click Verify new to check every row not yet checked, or Re-check all.
- Each row ends up as one of:
- Checked: confirmed or filled from your check sources.
- Sources disagree: both values are shown with ⚠ and both pages; nothing is overwritten, so you decide.
- Not found: hover ⓘ to see which sites were tried.
Part 5 — Use the list
- Click the counts (All, Checked, Sources disagree…) to filter, or type in Search the list.
- Every value has a ↗ link to the page it came from.
- Ask in chat: "how many have no phone?", "show the ones in Plano", "which ones have conflicts?". Answers come from the saved list.
- Click Email as Excel to email yourself what's currently shown, with a download button right there. The second sheet, Sources, lists where every value came from.
What you can trust
- A company or value is kept only if it is written on the page it came from, and each one links to that page.
- Blanks stay blank. Epic One doesn't fill gaps from memory.
- Counts come from the saved list, never from memory.
- Each run stops at its limits (100 new rows and 500 pages by default, adjustable per project), so a broad request can't run up a large bill. Run it again to continue.
Sharing
Projects are yours. Turn on Share with my company and colleagues can view, run and export it; only you can change or delete it.
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "Add the Texas Comptroller's entity search as a research source for registration dates" | Saves the source, works out how to search it, and shows a test search. | Research in your company's plan. |
| "Start a research project: food-packaging suppliers in Ohio with website, phone and city" | Shows the draft setup and saves it when you say yes. | At least one Research Source added (Settings → Connections → Research Sources). |
| "Gather" | Starts collecting in the background, then posts a summary of how many were added and from how many pages. | A saved project. |
| "Verify them" | Checks each row against your chosen sources and reports how many were filled, confirmed, flagged and not found. | A gathered list, with the sources chosen to check each column. |
| "Which ones have conflicts?" | Lists them, with both values and their pages. | A verified list. |
| "Email me the list" | Sends the Excel file (List and Sources sheets) to your email and posts a download in chat. | Your email address on your profile. |
Communications mood New
Your own Outlook mail, calendar, Teams and files, from chat: find and summarise email, get replies drafted in your voice, book meetings with Teams links, work in Teams channels, and read and save files in Teams, SharePoint and OneDrive. Nothing goes out or changes until you approve it.
What it's for
Getting through a busy inbox and calendar without switching apps. Epic One reads your mail and meetings, answers questions about them, and prepares replies, invites and messages. You approve each one before it is sent. A licensed add-on, separate from the other moods.
Set it up
- Ask your administrator to enable the Communications module (Fleet admin → Modules) if you don't see the mood.
- Settings → Connections → Microsoft 365: click Connect Microsoft 365 and sign in with your work account. Each person connects their own account; Epic One only sees what you can see. Connected before files and the new Teams features arrived? Click Reconnect Microsoft 365 there once New.
- Optional — Teams admin features New: reading channel posts, creating channels and adding or removing members need your company's Microsoft 365 admin to approve them once (link for your IT admin in the same place); then click Connect Teams admin features.
- If Microsoft says your organisation needs an admin to approve the app, click Get a link for your IT admin, send it to them, and connect again once they approve.
- Say "switch to communications mode", or pick Communications in the mood chip.
What it unlocks
- Mail: search by words, sender, unread, date or folder; read an email in full; summarise a whole conversation.
- Suggested replies: Epic One reads the whole conversation, looks up what it knows about that person and topic (your company's notes, taught material and your own knowledge), and writes in your voice, based on how you've written to them before. If the email asks about an order, invoice or job and your company has Business Systems, Epic One reads the live figure (it never changes anything there from this mood). Anything it doesn't know is left as a blank like [confirm ship date]. A draft with a blank can't be sent; fill it in or save it to Outlook Drafts.
- Send, reply, reply-all and forward new emails.
- Calendar: your agenda for any day, one meeting's details (who accepted, the Teams link), and times when you and others are all free. Book a meeting (with a Teams link unless you say otherwise), move one you organise, cancel one (everyone is told), or accept, decline or tentatively accept an invite.
- Teams: your recent chats and what was said in them; your teams and channels; channel posts and their replies*; who is in a team*; whether people are available, busy or away; Planner tasks (yours or a team's). Send a message into a chat or to people (Epic One opens the chat), post in a channel or reply in a thread, attach a file from Teams/SharePoint, create a team, create a channel*, add or remove members*, and create or update Planner tasks. *Needs the Teams admin features. New
- Files New: your Teams channels' Files, SharePoint sites and OneDrive — browse, search and read Word, Excel, PDF, PowerPoint and text files (a file read can then be learned from or made into documents); put a file in (a document Epic One made, a file you attached, or text), make a folder, rename, move, or get a share link. Nothing is deleted. Learn a whole folder, and keep it learned — see Teaching Epic One. Links New: paste a SharePoint, OneDrive or Teams link — or let Epic One use one stored elsewhere, like a Pipeliner opportunity's project folder — and it opens that exact folder or file. It only opens what you can open yourself. If you ask about files before connecting Microsoft 365 (or you connected before files were added), Epic One tells you to connect or reconnect it under Settings → Connections → Microsoft 365.
- Morning brief: today's meetings and a line about unread mail are added to your daily brief.
What matters, and what Epic One learns
- Important mail: ask "what do I need to answer?" and Epic One sorts the emails you haven't answered into needs your reply (you're on the To line and it asks you; an email written to someone else that you're only copied on is never more than FYI), FYI and can wait (newsletters, system notices, mail for others), each with a short reason. Your morning brief lists who needs a reply plus the FYI count.
- Teach it: "emails from Acme are always important", "fleet alerts aren't important", "Pat is our buyer at Acme", "keep replies to Acme short". These are yours unless you say "for the whole company".
- Your contacts: as soon as you connect, Epic One reads your last 90 days of mail (it takes a few minutes and tells you in chat when it's done). From then on it keeps track of the people you email most. It knows who they are (colleague, customer or vendor), how often you write to each other, and how you write to them (greeting, sign-off, length, tone). It updates every night. Ask "who is Pat?"
- Learning from you: senders you answer even when Epic One ranked them low move up, and ones you leave unanswered move down. If you save a suggested reply to Drafts and change it in Outlook before sending, Epic One learns from what you changed. Over time it also notices the emails you answer the same way every time, and drafts those replies the way you usually do.
- Ask "what have you learned about how I email?" to see all of it, and correct or remove anything.
- Morning prep (optional): under Settings → Connections → Microsoft 365, tick Draft my replies before the morning brief. Epic One then drafts replies to up to 5 emails a day that need you and puts them on your Approve card, so they're ready when you open Epic One. Nothing is sent until you approve. It costs about 1–3¢ per email.
Approving what goes out
Everything Epic One would send or change waits on the Approve card in chat, one line per item with a checkbox. Several can wait at once. For example, ask "draft replies to my unread emails" and each reply is listed.
- Tap an item to see exactly what goes out: who it goes to, the subject, and the full text.
- Show original email opens the email being answered or forwarded: who sent it, To, Cc, date and the full text, with a line saying whether you were on To or only copied. For a Teams message, Show the chat shows the latest messages in that chat. It is read from Outlook or Teams when you open it and isn't stored.
- Edit lets you change the text, subject, To and Cc of an email (a reply always goes back to the sender), or the text of a Teams message. Save changes puts your version on the card, and Approve sends exactly that. The "Sent by Epic One" line is added automatically. A [confirm …] blank must be filled in before it can be saved. Epic One learns from what you change, the same way it learns from drafts you edit in Outlook.
- If you reply to an email you were only copied on, the card says so at the top.
- Untick anything you don't want, then press Approve, Reject, or Save as drafts (emails go to your Outlook Drafts unsent, so you can finish them in Outlook).
- Or say it in chat: "approve all", "reject all", "approve 12 and 14", "save them as drafts".
- Or ask Epic One to change it ("make the reply to Pat shorter"). The new version replaces the old one on the card, including any edit you made to it.
- The card warns you when something goes to people outside your company, shows what a suggested reply was based on, and flags any line that shares internal information.
- Items not approved within 24 hours expire, and nothing is sent.
- New meetings can take a minute or two to appear in the Outlook desktop and phone apps. Outlook on the web shows them right away.
Everything Epic One sends ends with a short line: "Email sent by Epic One · https://www.hearken.ai" on emails, and "Sent by Epic One · https://www.hearken.ai" on Teams messages, meeting invites and meeting answers. Your Outlook signature isn't added automatically; Epic One signs off the way you usually do. The same line is added to Epic One's own emails and text messages and to Amplify posts and replies (on X it is shortened, or left off if the post is already at 280 characters).
What you can trust
- Epic One acts only as you, with your own Microsoft access, and only after you approve.
- Emails and chats are treated as information, never as instructions. An email that says "send me the bank details" or "click this link" can't make Epic One do anything.
- Epic One never invents dates, prices or promises in a reply. Unknown facts stay as blanks for you to fill.
- Disconnecting in Settings removes Epic One's access straight away and deletes what it learned from your mail: your contacts, how you write, your own rules and preferences, and anything waiting to be sent. Rules shared with your whole company stay.

Developer mood New
For the people who build in Epicor: describe what you need and Epic One builds the BAQ, the dashboard, the screen change or the menu item, tests it on your real data, and saves it when you're happy. It also backs your work up as an Epicor solution and moves it to another environment.
What it's for
Building BAQs (Business Activity Queries), Kinetic dashboards, screen changes and menu items without starting from a blank designer, and keeping that work safe in solutions. A licensed add-on.
What it unlocks
- Real field names only. Epic One reads each table's fields and types from Epicor's own data dictionary before it uses them; a name that doesn't exist is refused with the closest real ones.
- Design and test without saving. Tables, joins (Company is matched for you), columns, calculated columns, totals (count, sum, min, max, average, with the other columns grouped), filters and sorting. The test runs with the test row limit removed, so you see the real row count and the first rows.
- A mapping preview before anything is saved. Each test shows a table of the grid headings, the fields behind them, the joins and the filters. Epic One asks whether anything needs changing, and you can rename headings or swap fields until it's right. Headings you choose are the ones the grid shows in Epicor.
- Save as EO_<name>. Every BAQ Epic One creates starts with EO_ and is shared with your company. It is saved exactly as tested, only on a Pilot or test environment for now, after an Approve card, and read back. It never changes a system BAQ or anyone else's. To change one of your EO_ BAQs, describe the change: it is tested again and the same BAQ is updated in place.
- Updatable BAQs. Mark columns as editable and the BAQ becomes updatable. Saving changes in an updatable BAQ needs an update directive (the code that runs when someone saves a row). Epic One never writes that code itself: it installs one of the Epic One team's reviewed templates, with an Approve card, and can show, turn on, turn off or remove it. If no template fits what you need, Epic One says so and the Epic One team adds one.
Template available now: Move a receipt's warehouse/bin. It is for receipts that were bought for a sales order. Changing the warehouse or bin on the grid does one of three things, depending on the receipt:- A buy-to-order receipt waiting in the material queue: the queued move is redirected.
- Other stock: it is moved with an inventory transfer.
- A non-stock receipt: its receipt line is changed.
- Dashboards. A Kinetic dashboard with one grid per saved BAQ, and the columns you choose. An updatable BAQ's grid gets its editable columns and an Update button, so people can make changes right on the grid.
- Screen changes. Rename, hide, make read-only or disable a field on an Epicor screen, or add a field to it. Epic One first lists the screen's pages and the fields on each one, so it only uses fields the screen really has. Changes are saved as a draft layer: the standard screen is never touched. Look at the draft in Application Studio, then ask Epic One to publish it.
- New UD fields New Add user-defined columns to an Epicor table, for example a revision or lead-time field on quotes. Pick text (with a length), whole number, number (with decimals), date or checkbox, and a label. Epicor adds the _c ending. Epic One creates the table's UD companion table when it has none, adds only new columns (it never changes or removes an existing one), and reads them back after an Approve card. The columns then wait for Epicor's data model to be regenerated, which Epic One can't do: on-premises your Epicor administrator runs it in the Epicor Administration Console, and on Epicor's cloud Epicor runs it. Epic One shows whether that has happened, and after it the fields can go on a screen (see screen changes above) or in a BAQ.
- Menu items and the home page. Add a menu item so people can open a dashboard or changed screen. Add tiles to the Epicor home page (a menu item, a BAQ grid or a web page) and share that layout with a security group. Epic One only removes the tiles it added.
- Solutions: back up and move. Epic One packs the things you choose into an Epicor solution named EO_<name>: BAQs, dashboards, Kinetic apps, menu items, directives, screen layers, functions, quick searches, user codes or BAQ reports. Each backup is kept in Epic One with a download link. An updatable BAQ's directive travels inside the BAQ. To move the backup to another environment, switch the environment chip to that environment and ask Epic One to install it. Before installing, it lists what the backup holds and which of those items are already there. It installs into your current company only. Items that already exist are left alone unless you say to replace them.
- Run, list and explain saved EO_ BAQs, dashboards, screens, menus and solutions. For a whole list as a file, use "export … to Excel".
Every change happens on a Pilot or test environment only, is named EO_, and goes through an Approve card. Epic One never deletes anything that isn't EO_.
Set it up
- Your administrator adds the Developer module for your company (Fleet admin → Modules).
- Connect Epicor (Settings → Saved Credentials). Pick your Pilot or test environment in the system chip before saving anything.
- Say "switch to developer mode", or pick Developer in the mood chip.
Examples
| Say this | What happens | Before you ask |
|---|---|---|
| "What fields does PODetail have?" | Lists the table's real fields with their types. | Developer in your plan; Epicor connected. |
| "Build a BAQ of open PO lines: PO number, order date, line, part, quantity, unit cost and line value, newest first" | Joins POHeader and PODetail, adds the calculated line value, filters to open lines, sorts, then tests it: the mapping preview, row count and first rows. Nothing is saved. | Developer in your plan; Epicor connected. |
| "Call the cost column Unit Cost and drop the order date" | Tests it again and shows the new mapping preview. | A BAQ being designed. |
| "Count parts per class" | A totals BAQ: one row per class with the number of parts. | Same. |
| "Save it as OpenPOLines" | Approve card naming EO_OpenPOLines and the environment; saved, read back and run once. | The BAQ tested first, and Pilot (or a test environment) picked in the system chip. |
| "Run EO_OpenPOLines" / "Show me how it's built" | Runs the saved BAQ (row count and first rows), or lists its tables, columns, joins and filters. | A saved EO_ BAQ. |
| "Build a BAQ of receipts bought for open sales orders where warehouse and bin can be changed" | An updatable BAQ with Warehouse and Bin editable; tested and previewed like any other. | Developer in your plan; Epicor connected. |
| "What update templates are there?" then "Install move-receipt-bin on EO_RcvToSO" | Lists the reviewed templates; then an Approve card installs and turns on the directive. | A saved updatable EO_ BAQ. |
| "Make a dashboard for EO_RcvToSO and put it on the Shipping/Receiving menu" | A dashboard with the grid and an Update button, then an Approve card for the menu item. | A saved EO_ BAQ. |
| "On Customer Entry, rename Territory to Sales Region and hide Fax" | Lists the screen's fields, then saves a draft layer (Approve card). Ask to publish once you've looked at it. | Pilot or test environment picked. |
| "Add QRev (text, 10) and QHLeadTime (whole number, label Lead Time Days) to QuoteHed" | Checks QuoteHed and that the names are new, then an Approve card adds QRev_c and QHLeadTime_c and reads them back. It tells you the data model needs regenerating before they can be used. | Pilot or test environment picked. |
| "Show the UD fields on QuoteHed" | Lists the table's UD columns with their type and label, and says whether the data model is up to date. | Developer in your plan; Epicor connected. |
| "Put Lead Time Days on Quote Entry next to Reference" | Once the data model has been regenerated: a draft screen layer with the new field (Approve card), ready to look at and publish. | The UD field created and the data model regenerated. |
| "Add an Open PO Lines tile to my home page" | A BAQ grid tile on the Epicor home page. | A saved EO_ BAQ. |
| "Back up EO_RcvToSO with its dashboard and menu" | Finds the exact items, then an Approve card builds solution EO_RcvToSO; you get a download link and the backup is kept in Epic One. | Items saved on Pilot or test. |
| "Install that backup here" (after switching the environment chip) | Shows what's in the backup and what already exists here, then an Approve card installs it into your current company. | A backup kept in Epic One; the target environment picked in the chip. |

ERP Automation
Your active environment New
Many companies run more than one ERP environment — a Live system and a Pilot or test system. Epic One always shows which one it's working in with a colored chip in the chat header, and the little “E1” badge on its replies takes that same color, so you can tell at a glance where an action landed.
- Switch environments by clicking the chip and picking another one. Colors are smart defaults you can change in Settings.
- Other ERP systems New — the same list also shows E2 (when its login is saved or its API is connected), Zoho Books · your organization and Pipeliner CRM (when connected). Epic One works in whichever one you pick; the Epicor company chip only shows while an Epicor environment is selected.
- Reads and writes stay on the active environment. Outside Migration mode, Epic One never crosses environments — if you ask it to touch a different one, it tells you to switch first rather than acting on the wrong system.
- Migration mode is the one exception — that's where a read-only source and a write target are deliberately pinned (see below).
Connecting Epicor — sign-in methods New
Add your Epicor environments in Settings. Each one signs in the way your Epicor is set up — username & password, an API key, OAuth, or Epicor Identity (single sign-on). If you run more than one environment (say Live and Pilot), add each separately and give it a color so the header chip and E1 badge show where you are.
- Set once per environment by your admin (Settings → Connections → Business Systems → Epicor → edit the environment): the API key, which is shared by every login on that environment, so people only enter their own sign-in; and the Company ID.
- Company ID New Newer Epicor cloud instances (Kinetic 2026) only accept requests that name the company. If the Company box is empty, Epic One fills it in the first time someone connects with Epicor Identity, from the company that login opens in. It never changes a Company your admin entered. For a username/password login, enter it yourself.
- If every question stops with "Epicor connection could not be validated: HTTP 404", check that environment's Company. If it says the request "must pass a valid API key", check its API key.
Epicor
- Look up live data: "How many open orders does customer X have?"
- Drive the Epicor screens in a browser for anything the data interface can't do.
- Run saved EUP procedures. Requires Epicor credentials in Settings.
- Human approval on every change: before Epic One writes anything to Epicor it shows an approval card with the exact changes and an estimated cost and time, and waits for your OK. Reading is instant; changing always asks first.
JobBOSS² (E2) — API connection, read only New
If your company has a JobBOSS² API user (from ECI's Integration Engine Management Console), Epic One reads JobBOSS² directly — far faster than clicking through its screens. Each company connects its own.
- Connect: an admin opens Settings → Connections → Business Systems → JobBOSS² (E2) → JobBOSS² API → + Connect, enters the client ID and client secret, and presses Save and test. It's one connection for the whole company; nobody sees the secret after it's saved.
- Ask about anything in JobBOSS²: jobs, orders, routings, material, purchasing, quotes, customers, vendors, inventory, shipping, invoices, time and who's clocked onto what right now. In JobBOSS² a job is a line of an order — job JK260326A-17 is line 17 of order JK260326A.
- Everything about one job in one go: "tell me about job JK260326A-17" — the order and customer, routing steps with hours, material, what's still to buy, purchase orders, releases, shipments, time worked, invoices and quality issues.
- Totals: "what material do we still need to buy, by vendor?", "open orders by customer", "hours by work center" — worked out across every record.
- Searches that contain a word ("parts whose description contains Myers") work, even though the JobBOSS² API itself only matches exactly.
- Dates show in your company's time zone. Epic One can't change anything through the API; changes still go through the screens with your approval.
E2 JobBoss screens (and other web ERPs)
- Save the site login under Settings → Credentials, then ask Epic One to read screens, fields, and dropdowns. The session stays open between requests and re-logs-in automatically if it expires.
- Hot Spots New — E2's own saved queries. Ask Epic One to create one ("a Hot Spot for open orders with customer and due date"), fix its SQL, list them, or export one. Every table and column is checked against your E2 first (through the EpicOne_Schema Hot Spot), creating or changing one goes on an Approve card, and the result is E2's own Excel file, emailed to you and downloadable in chat. Use a fixed date (2025-10-15) rather than today's date in the SQL: E2 Hot Spots return no rows for date functions.
- E2 allows one session per user: when Epic One signs in, a session open elsewhere for the same user is signed out, and Epic One tells you from where.
- Available in General and Migration moods.
Zoho Books New
- Connect it under Settings → Connections → Zoho, then pick Zoho Books in the system chip.
- Ask for customers, invoices, bills, items, payments, estimates, sales and purchase orders, and reports like A/R aging.
- Every change shows an approval card naming Zoho Books and the organization, and waits for your OK.
- Epic One works with your own Zoho login, so it can only do what you can do in Zoho.
- Many records at once New — "set all my unpaid Acme Supply bills to Net 30" gives one approval card listing every change; after you approve, each one is reported. Every change is checked first (the records exist, the field names are real, payment terms match your organization's) and read back afterwards, so a change that didn't take effect is flagged ⚠️.
- Vendor bills from Dropbox New — put vendor invoices (PDFs or photos) in a Dropbox folder such as Bills2Enter and say "enter the bills in Bills2Enter". Epic One reads each invoice and prepares one bill per invoice: one line per invoice line on your Invoice item with the invoice's own description, freight and tax as their own lines, and the due date from the vendor's payment terms in Zoho. One approval card lists every bill — and any file it can't enter (vendor not in Zoho, already entered, doesn't add up) with the reason. After you approve, each invoice file is deleted from the folder only once its bill is confirmed in Zoho; anything that fails stays in the folder.
- Epic One learns your Zoho organization's setup (payment terms, taxes, accounts, custom fields) and remembers the proven way to make each kind of change.
Pipeliner CRM New
- Connect: an admin opens Settings → Connections → Business Systems → + Add system → Pipeliner CRM and enters the service URL, space ID and the API username and password from Pipeliner's API access screen. One connection for the whole company. Pipeliner has to be included in your company's plan.
- Ask about accounts, contacts, opportunities, leads, tasks and notes: "how many open opportunities do we have?", "show Acme's contacts", "opportunities created this month". Open, Won and Lost work by name, and dates show in your company's time zone.
- Epic One learns your space's own fields and dropdown choices, including custom fields, and keeps up when they change.
- Every change waits on an Approve card.
Big lists to Excel New
- "Export all open opportunities with name, account, owner, step and value" or "export every job requirement without a PO" — one request reads every matching record. Big lists run in the background and show in the Tasks list under the chat header with "X of Y read" and a Stop button; when they finish, the Excel file is posted in the chat and emailed to you.
- Asking for every field on thousands of records takes a while (Pipeliner sends about 100 records every nine seconds when all fields are asked for). Naming the columns you need is several times faster.
Data migration
Moving records between environments has its own topic — see Data Migration for setup, comparison, validation, and the visual field-mapping screen.
Data Migration
In Migration mood, Epic One moves records between two Epicor environments with guardrails — you read from a source (read-only) and write to a target. It's the one place Epic One works across two environments on purpose.
Setting up a migration
Say "migration setup" to pin the source (read-only) and target (write) environments. From then on reads come from the source and writes go to the target.
| You say | What happens |
|---|---|
| "Compare Acme's customer record between the two environments" | Reads both systems and shows field-by-field differences. |
| "Validate the part import file" / "dry-run the customer import" | Checks a CSV against Epicor rules, flags duplicates, and simulates the import before anything is written. |
| "What's the migration status?" | Progress summary and the migration log so far. |
The migration board, step by step New
- FROM and TO. At the top of the Migration page, pick where the data comes from (an Epicor environment, E2, Zoho Books or a file) and the Epicor environment it goes to.
- Topic. Master Data is a standard checklist in four phases (company setup, customers, vendors, parts …). Open Transactions is your own list (quotes, sales orders, lines, releases, jobs, POs …). E2 is a source for open transactions only; master data is set up in Epicor itself.
- Source and Refresh. Open an item and pick its source: for E2, the Hot Spot with those records (Epic One can create one for you). Refresh reads it and stages every row as new, changed or unchanged.
- Map fields. Each source column, with an example value, gets an Epicor field, a fixed value, or Not migrating. A key Epic One numbers itself can be set to Next number — Epicor assigns it. E2 sales orders, order lines and order releases start with a suggested mapping, which you can change. New One source column can fill several fields (for example Quantity → both selling and our quantity). A line or release number can be set to Number 1, 2, 3… within the same… order (or line), so Epicor gets 1, 2, 3 even when the old system numbered differently.
- Scenarios (on Map fields). New Some rows need different values, for example motor orders. Pick + New scenario in the Scenario box, add When rules on source columns (equals, starts with, contains, is empty, matches pattern New —
#any digit,?any one character,*anything, soM#*means "M then a digit" …), then change only the fields that differ; they're marked scenario. Rows are checked against the scenarios in order and the first match wins — unless the scenario has Also check the scenarios after this one ticked New; then a later match adds its changes too (a motor release that is also drop ship gets both, shown as "Motor + Drop ship"). Once you have scenarios, add a last one with no rules ("Everything else") or rows that match none are held back. - Cross-references New (lower on the Migration page). For IDs that differ between the old and new system: one per Epicor table and field, such as Customer → CustID or Vendor → VendorID. Build from E2 fills only exact matches (the same ID, or exactly one Epicor record with the same name); the rest are listed to fill in by hand or by uploading a two-column file. Choose whether a value with no match blocks the record or is kept. Map fields shows which fields use which cross-reference and how many values are still to fill.
- Data from other items (Map fields) New. Columns from other items brings a column across from another staged item through matching columns, for example the PO's ship type found through the job number; it shows as ⇢ name and can be mapped, used in a scenario rule or sent through a cross-reference. Fields from another item's Epicor record fills a field with the key of a record another item already loaded, for example the sales order number, line and release on a PO release. If that record isn't loaded yet the row waits; if nothing matches it loads without it and is listed in the check.
- Close after loading New. On releases, lines and orders, Close the record in Epicor after it is loaded — usually inside a scenario such as "Shipped" or "Received". Closing runs at the end of the load; anything Epicor won't close is listed.
- Check. Nothing is written. Code values that aren't in Epicor (terms, ship via, currency, country …) are listed to translate once; when exactly one Epicor code has that value as its code or description, or as a country's ISO code, it is translated automatically New and shown. You also see cross-reference gaps, empty required fields, duplicates, and how many records would be created or updated.
- Test with one record (Map fields). One record is written to the TO environment on an Approve card and read back; every field Epicor saved differently is shown.
- Load. The item's Load card shows the counts; approve and it runs in the background. Records are linked to their source rows, so a later load updates what changed instead of adding duplicates. Load in this order New: sales orders → order lines → order releases → purchase orders → PO lines → PO releases. A row whose parent isn't loaded yet waits and loads on the next run.
Sales orders from E2 New
- One-time ship-to. Every order ships to a one-time address built from the E2 order's ship-to (name, address, city, state, ZIP, country, phone, contact). No ship-to records are created on the customer.
- Bill-to, checked. E2 orders have no bill-to, so it comes from its own cross-reference (CustBillTo → BTCustID). It must be the customer itself or one of its alternate bill-tos in Epicor. Anything else loads with the customer's default bill-to and is listed under Bill-to … please review in the check.
- E2 numbers kept. If your Epicor has custom fields for them (for example an E2 order number on the order header, or an E2 PO number on the PO header), the E2 numbers are mapped into them so you can search by the old number.
Order lines and releases from E2 New
- Lines attach to their order by the E2 order number, and keep E2's item number as the line number. Lines are never combined.
- Releases attach to their line by order number and item number, and are numbered 1, 2, 3 within the line. Epicor makes the line quantity the total of its releases.
- One-time ship-to on releases. A release doesn't take the order's one-time address by itself; tick Ship to the order's one-time ship-to on the release mapping (it is ticked in the suggested mapping).
- Shipped or canceled releases: a scenario on the release can set the shipped quantity and close it, so only open work stays open.
Motor orders and purchase orders from E2 New
- Buy-to-order. A motor scenario on the release (for example a part that matches pattern
M#*) sets it as buy-to-order (not make), with the vendor taken from the E2 PO through the job number. - Drop ship on both sides. E2 marks a PO that ships straight to the customer (ship-to type CUSTOMER). A drop-ship scenario, stacked with the motor one, sets drop ship on the sales order release and on the PO release.
- Purchase orders, lines and releases. PO headers get the vendor from the vendor cross-reference and the E2 PO number in your custom field if you have one; lines get quantity and unit cost; releases are linked to the sales order release they buy for, so Epicor shows the PO on the order.
- Received PO releases: a scenario can bring the received quantity and close the release.
- Parts that aren't in your Epicor part list are bought as non-stock items automatically.
Jobs from E2 (made-to-order) New
E2 keeps a job's routing and its materials in several places, so two board items are built from E2's Hot Spots instead of copied row by row:
- Job operations built from E2 routing. Every job gets the operations of the method it is copied from. Each E2 work centre is matched to one of those operations through a translation list you can edit like any other code translation (E2 work centre → Epicor operation). The E2 steps for an operation are added together: estimated hours, hours already worked (posted to Epicor as a labor adjustment), and Finished when every step is finished. A work centre with no match leaves its operation empty, and the check lists it so you can add the match.
- Job materials built from E2 requirements and issued materials. One row per job and part, split in two: what E2 already issued becomes a line marked issued complete, and what is still needed stays an open line. The E2 PO and PO line go on the row the PO's open release will be tied to.
- A new line on the board is always created in Epicor. It never replaces an existing line on the same record.
The Field Mapping screen
Migration mode includes a visual Field Mapping screen for lining up fields between the two systems:
- Search any dataset — type part of a name (e.g. "cust") and pick from every matching dataset.
- Ready-made defaults — for Epicor→Epicor moves, ~2,483 datasets come pre-mapped with an identity default (every field copied across as-is). Pick a dataset and it's ready; edit and save only if you want to customize.
- Map by hand where you need to — set a target field from a source field or a fixed constant value; required fields are flagged, and a running count shows what's still unmapped.
Every write still goes through the approval card with an estimated cost and time — and a dry-run lets you preview the whole import before committing.
Teaching Epic One
- From recordings — teach-mode recordings become reusable procedures, learned from the whole video. See Screen Recordings for where they're saved and how to change them.
- From chat — "remember that Acme's payment terms are Net 45."
- From websites (Marketing mood) — "learn from acme.com"; it can log into password-protected sites with saved credentials.
- From Dropbox — point it at a folder of documents; check progress with "what's the learning status?"
- From a file New — 📎 → Learn from it, pick the file, press Send. Epic One takes PDF, Word, PowerPoint, Excel, text or Markdown, keeps the whole document, captures the process if it describes one (stages, who, screens, steps — however long the guide is), saves the facts for your company, and tells you what it learned. Uploading the same file again — by anyone, under any name — is recognised and skipped; a changed version replaces the old one. A new version of a process guide (e.g. …v0.4 after …v0.3) keeps every step you already confirmed or changed, and only the new or reworded steps are worked out again.
- From a Teams, SharePoint or OneDrive folder New — "learn everything in the Sales channel's Procedures folder" (add "including subfolders"). Every document goes through the same learning as a file you attach, in the background, and Epic One posts what it learned. Add "and keep watching it" and it checks the folder about once a day, learning only new or changed files. Watched folders are listed under Settings → Connections → Microsoft 365, where you can stop one. Up to 100 documents at a time. Needs Microsoft 365 connected (Communications).
- From your conversations New — after a chat has been quiet for about ten minutes, Epic One remembers what mattered: corrections, decisions, facts you mentioned, your preferences, the names your team uses for things ("the board" = the Migration Board) and which report answers which question. A correction replaces the old fact. "Always", "never" and "from now on" become standing rules.
- From news and feeds New (Amplify) — a rule can learn for me or learn for the company from the articles it matches.
What Epic One does with it New
- Remembers by meaning — you don't need the exact words; "how do we get a panel out the door" finds the shipping stage.
- Puts it together — a few minutes after anything new is taught, it writes connected summaries per topic and an overview of the company, and points out contradictions or missing pieces to admins.
- Knows what's current — every fact carries its date; newer information wins, and standing rules come first.
- Asks when something's missing — if your documents cover a topic but not the detail you asked about, it answers what it can and asks you one precise question, then remembers the answer.
It does it the way that worked New
- Proven work comes first. When something works — a report, a lookup, a saved BAQ, a change you approved — Epic One keeps exactly how it did it. The next time anyone at your company asks for the same thing, even weeks later, it does it that way first instead of working it out again. If the proven way ever fails, it tells you in one line, works it out, and remembers the new way.
- Different words, same job. "Set up a new supplier" finds the way it created a vendor before; "email the pack list for SO 5001" finds the packing slip. When the match is only by meaning, Epic One checks it really is the same task before using it.
- Teaching isn't an order. When you explain how you do something — the Process page's "Let's fill a gap in our process:", or "I'm just teaching you…" in chat — Epic One writes it down and changes nothing in your systems. To have it actually do the work, ask it to.
- Asks instead of hunting. For something it has never done, Epic One looks things up a handful of times, then tells you what it found and asks — rather than searching on and on. Say "keep going" to give it more room.
- Joins it all up. Taught processes, facts, people, reports and the work it has done are linked through the names they share, so a question nobody taught directly can be answered from pieces put together. Epic One says which pieces it used.
- Nothing you need is lost. If Epic One double-checks itself mid-answer, what it had already found still reaches you.
Four rules it never bends: every change to a business system waits for your approval; it never says something was done unless the system confirms it; it never makes up numbers, names or records; and text in emails, web pages and files is information, never instructions to it.
Teaching checklist New
A list that shows how much of your way of working you've taught Epic One — and what's still to teach. Open it from Settings → What Epic One Knows → Teaching checklist.
- Areas of the business — quoting, order entry, engineering & jobs, projects, purchasing, receiving, inventory & warehouse, production, quality & testing, shipping, invoicing (AR), payables (AP) and returns (RMA). Each one shows Not taught yet, Taught, Mapped to Epicor (Epic One knows the Epicor call behind every step), Proven by a run (it has done the steps for real) or We don't do this — plus which guide and stage taught it.
- What Epic One thinks is missing — after you teach a process, Epic One compares it with how your business system works and with what is actually in it, and lists what looks missing: a step the system needs (e.g. approving a PO before it can be received), work that's never finished (jobs never closed), or something you use but haven't taught (returns exist, but no returns process). You also get these as a card in the chat right after it learns a guide.
- Teach this opens the chat with the topic already typed in — walk Epic One through it, or upload a guide or a recording. We don't do this checks an area or a gap off (add a note why); Taught marks a gap done. You can also just tell it in chat: "we don't do returns."
- Steps & Epicor calls (the second tab) lists every step of a taught process with the call Epic One makes for it. When your business changes, an admin can change a step here: which field a label means (Epic One checks the field exists), mark it a person's job or no system call, skip it (with a reason) or follow the guide again, or confirm it. Every change is saved for your company with who made it.
- The onboarding questionnaire asks about the areas you haven't taught yet, one at a time, and stops asking once every area is taught or checked off.
Everything on the checklist is your company's own and stays on your company's Epic One.
See and correct what it knows New
Settings → What Epic One Knows shows everything: the documents and processes it was taught, the topics it put together and its overview of the company, standing rules, what it learned from chats and feeds, and every fact with search — each with where it came from and when. Admins can correct or remove company entries, mark a fact as a standing rule, make it forget a document, or ask it to put everything together now. Everyone can manage their own notes.
Media & Article Search
Available in Law and Marketing moods. Save the outlets you care about in Settings → Media Sources, then have Epic One search them by keyword — each source is searched on its own site and the results come back ranked.
| You say | What happens |
|---|---|
| "Search my media sources for hair relaxer lawsuits" | Runs each saved media source through its own site search and returns a ranked list: headline, source, date, link, and a one-line summary. |
| "Any new coverage on the MDL in Reuters and Law360?" | Searches just those named sources. Login-gated sources use the credentials you saved for them. |
Login-gated outlets work too — save the site's credentials once and Epic One signs in when it searches. Media Sources is where you keep the list of outlets; this topic is how you search them.
Team Features
- Presence — header dots show who's online across web and mobile.
- Relay messages — "tell your teammate the pilot environment is back up" delivers in-app, or by SMS if offline.
- Shared knowledge — what one teammate teaches Epic One, the whole company benefits from.
Settings
- Avatar & voice — pick the character (or "None" to hide it), set its position (left / center / right), and choose the text-to-speech voice.
- Mood — switch between the moods your company is licensed for.
- Epicor environments — under Connections → Business Systems: your company's environment list (each with its address, Company ID and shared API key, set by an admin) plus your personal Epicor login. New New team members see the company's environments straight away and add their own login to one. Each environment has a color New (a smart default like Live=red / Pilot=amber that you can change) which drives the header chip and the E1 badge. Environments support several sign-in methods — API key, OAuth, or Epicor Identity — as well as classic username/password. Adding one unlocks Epicor mood.
- Site credentials — logins for E2 JobBoss and other sites, with a Test connection button.
- Zoho New — tick Zoho Books, Zoho Help Desk, or both. If you use one Zoho login for both, tick Use the same Zoho login for both and connect once. Each product connects one of two ways:
- Zoho API (recommended) — at api-console.zoho.com choose Add Client → Self Client, copy the Client ID and Secret, then on Generate Code paste the permissions shown on the card, pick 10 minutes, create the code, paste it in and click Connect within 10 minutes.
- Zoho email and password — for Zoho Books, Epic One signs in once as you and then works with your Zoho Books data directly — reads, lists for Excel, and changes through the Approve card — with exactly your Zoho permissions. It keeps that sign-in so it doesn't sign in again every time (Zoho blocks accounts that sign in too often). If Zoho asks for a two-factor code, Epic One asks you for it in chat. For Zoho Help Desk, Epic One signs in once and works with Help Desk directly (reading, replies, assignments and status changes, each approved by you); this needs a login without two-factor codes.
- Research Sources New — the sites you research from in Research mood (separate from Media Sources, which stay for news). Add any site, say what it's good for, optionally pick a saved login for members-only sites, and use Test to see how Epic One searches it. See Research mood.
- Microsoft 365 New — connect your own work account so Epic One can help with your Outlook mail, calendar, Teams and files in Teams/SharePoint/OneDrive (Communications mood). Reconnect appears when there are new permissions to add; Connect Teams admin features adds what your IT admin has to approve; folders Epic One learns from are listed with Stop watching. Click Connect Microsoft 365 and sign in with Microsoft; Epic One then acts only as you, with your own access. Test checks the connection; Disconnect removes it any time. If your company requires IT to approve new apps, click Get a link for your IT admin and send it to them. See Communications mood.
- Company Dropbox — connect the Dropbox account where documents are delivered.
- What Epic One Knows New — see, correct and remove what it was taught (see Teaching Epic One).
- Notifications — SMS and email toggles, plus:
- Morning brief New — on or off, the time, your time zone, and whether it comes to the chat or the chat and a text message. While it's on it arrives in your chat every morning (in a new chat if none is open), with a one-line note on quiet days; it's never emailed. You can always ask "what's my brief?"
- Onboarding questionnaire New — while it's on, Epic One asks you its setup questions in the chat, one at a time, skipping anything it already knows. See Your company's first day.
- Company time zone New — dates and times in documents, emails and answers use this zone (Central by default). Admins change it; everyone can see it.
- Profile — name, email, password.
Admin Console
Admins only — /admin
- See every user grouped by company, with online status.
- Edit user details, reset passwords, toggle notifications.
- Force-logout a user's web session, mobile session, or both.
Adding people New
- Add user — enter their name, email, mobile number and a starting password. They can sign in as soon as you save; nobody needs to approve them. By default Epic One emails them a welcome with their sign-in details and that temporary password, and they choose their own password at first sign-in. Untick Email them their sign-in details if you'd rather hand the details over yourself.
- Reset password — set a new temporary password, and tick Email them the new password to send it to them. An emailed password always has to be changed at the next sign-in.
- People who register themselves — anyone can register from the sign-in page; they wait for an admin to approve or reject them in the Admin Console, and are emailed when you approve.
Document formats (admin, in chat)
Admins manage the formats behind Discovery, Planning, and Design Spec documents. Drop one example per type into Dropbox → transcript-pipeline/templates (the filename names the type — any new file becomes a new document type) and tell Epic One "learn my templates". It replies with exactly what it learned. Learning never happens automatically, and non-admins can't change formats — everyone can still generate the documents.
Custom Tools New
Epic One can build itself new tools on request — no code changes and no waiting for a release. Just describe what you need in chat; this works in any mood.
- Ask — e.g. "build a tool that lists this week's open orders by customer." Epic One writes the code and saves it as a private draft (visible only to you).
- Test — it runs the draft in a locked-down sandbox that can only use safe, read-only access to your company's data (knowledge base, documents, Epicor lookups) — nothing else on the server — and shows you the result. Refine it in conversation until it's right.
- Publish — an admin approves it by saying "publish it." If you're not an admin, Epic One sends your admins the request. Once published, the tool is available to everyone in your company.
- Pick it up — say "restart" to start a fresh session and the new tool is ready to use.
Every published version is archived for audit, and a tool that starts erroring is disabled automatically until an admin looks at it.
Amplify New
Amplify is a mood for finding and joining the conversations that matter to you — across social platforms and community forums — and answering them in your own voice, grounded in what you've taught Epic One. It's a licensed add-on: if you don't see it, ask your administrator to turn on the Amplify module (Fleet admin → Modules). Switch to it like any mood — say "switch to Amplify" or pick it in Settings.
Connecting accounts
In Settings → Amplify Connections, connect the accounts Amplify acts through — each stored encrypted, and each user connects their own:
| Channel | How it connects |
|---|---|
| X (Twitter) | One-click Connect (official API) — you approve on X; no password stored. |
| One-click Connect (official API) — you approve on LinkedIn; no password stored. Reconnect roughly every 60 days. | |
| Paste a Reddit "script" app's client ID/secret plus your Reddit login. | |
| LinkedIn (monitoring) | To watch LinkedIn for keywords, add a LinkedIn monitoring connection with your username and password — Epic One signs in for you and keeps the session; if LinkedIn asks for a one-time code, it will ask you for it once. |
| Web forum | Monitor any login-gated forum: pick a preset (e.g. Epicor Users Group) or enter the forum's login page, its search URL, and your login. |
| Default feeds New | A built-in catalog of about 50 public news and industry RSS feeds (manufacturing, technology, business, general news and more). Open the channel, tick the feeds you want, and they're live — no account needed. |
| Media New | Your Media Sources — the newspapers and TV sites you set up under Settings → Media Sources for article search. Tick the ones you want Amplify to watch. |
Channels: pick once, rules follow New
Default feeds and Media are channels, not individual sources. You choose what's in them once, under Connections, with an enable box beside each feed or site. A rule then names the channel, not the feeds — "Default feeds" or "Media" — and runs across everything you enabled. Turn a feed off and every rule on that channel stops watching it on its next sweep; no rule edits needed. Each enabled feed or site shows its health right there: when it was last checked, how many items it returned, when it last matched, and any error.
Media searches spend a scraper credit per site, so each site is searched at most once an hour no matter how often the rule runs. Login-gated media sites are listed but not swept automatically — use article search in chat for those.
Setting up a rule
In Settings → Amplify Rules, a rule is a source + keywords + actions. The source is one of: the Default feeds channel, the Media channel, a keyword search feed (Google News, Bing News, a subreddit or a Reddit search), or a forum you connected. Amplify checks the source on your chosen interval, and on each new match it can:
- Email you the post or article, with a suggested reply (for a social post) or a suggested share post (for an article) — no approval needed.
- Post New — write a short post about the match, for example sharing a news article from one of your media sites on X. The draft waits in the approval queue; you approve it to publish.
- Reply, like, or repost — public actions on the original post that wait in the approval queue by default (you review before anything goes out). You can set a rule to act autonomously if you choose.
- Learn for me / Learn for the company New — Epic One reads the matched article and saves what it teaches, either to your own notes or to the company's knowledge so everyone benefits.
Matches are remembered, so the same article or post is never surfaced twice, and one item that matches several rules is only acted on once per rule.
Answering forum questions from your knowledgebase
For a forum question, a reply rule does the whole loop: Epic One reads the full question, consults your knowledgebase for the how-to, drafts the correct answer in a consultant voice (it never invents menu paths or field names — it flags what to verify), and queues it for your approval. You review the draft and approve it to post.
Posting on command
You can also just ask, in Amplify mood: "post this to my X" or "post this to my LinkedIn." Epic One shows you the exact text, and posts it only after you confirm — then gives you the live link.
| Say this | What happens |
|---|---|
| "Post ‘…' to my LinkedIn" | Shows the exact wording, posts on your confirmation, returns the link. |
| "Watch r/manufacturing for kinetic, erp, epicor" | Creates a monitoring rule; matches surface in the queue and by email. |
| "Watch the default feeds for automation and robotics and email me" | A rule on the Default feeds channel — runs across every feed you enabled under Connections. |
| "Watch my media sites for Little Rock and hospital funding and draft a post" | A rule on the Media channel — searches each enabled media site, drafts a share post per new article, queues it for approval. |
| "Watch the Epicor Users Group forum for scheduling questions and draft answers" | Reads new matching threads, drafts knowledgebase-grounded answers, queues them for approval. |
| "Show my Amplify approvals" | Lists drafts/actions waiting — approve or reject each. |
Every public post is approval-gated by default and separate from the ERP write approval — nothing goes out under your name until you say so.
